Automatically Transfer Audio Files to GoSpeech: Here's How the New GoSpeech Mover Works

Meetings, sessions, negotiations, or personal voice memos often contain important information that needs to be documented and processed afterward. With GoSpeech, such audio recordings can be transcribed automatically. Until now, however, the files had to be selected and uploaded manually.

The new GoSpeech Mover simplifies this process: It monitors a predefined folder and automatically transfers new audio files to GoSpeech. As soon as a recording is saved in this folder, the processing begins—without having to manually upload the file each time.

A Folder as a Direct Connection to GoSpeech
GoSpeech Mover monitors a designated folder linked to the user’s personal GoSpeech account. New audio files are automatically detected, transferred to GoSpeech, and made available there for transcription. This allows GoSpeech to be flexibly integrated into existing recording and documentation processes. The only requirement is that the recording be saved in the monitored folder.

Use Case 1: Connecting Existing Recording Systems Directly to GoSpeech
Many conference, meeting, and negotiation rooms already have the necessary recording equipment in place. The associated software records conversations and automatically saves the audio files to a designated folder. If this folder is linked to GoSpeech Mover, new files are transferred directly to GoSpeech for transcription—without changing the existing recording process. This is particularly suitable for multi-speaker recordings, such as in meeting and city council chambers, courtrooms, committee rooms, conference rooms, interviews, workshops, or training sessions. Programs such as DigtaSoft Pro, Audacity, or other audio recorders allow you to specify a fixed storage location for recordings. If the monitored folder is used for this purpose, a seamless workflow is created: record, save, and have the audio automatically transcribed.

Use Case 2: Transferring Recordings from Mobile Dictation Devices
Audio files from mobile dictation devices can also be processed using GoSpeech Mover. One example is the Digta 7 from Grundig Business Systems.
After recording, the dictation device is connected to the computer. Using the DSS Mover, you can specify the folder where the dictations should be saved during transfer. If the folder monitored by GoSpeech Mover is selected for this purpose, the audio files are then automatically forwarded to GoSpeech. This means the user does not have to manually select and upload the file to GoSpeech. The transfer takes place in the background via the specified storage folder. This process is particularly convenient for people who record conversations, thoughts, or notes on the go with a mobile dictation device and want to process the content as text later.

Use Case 3: Processing Audio Files from Email Attachments
GoSpeech Mover is particularly useful for people who frequently work on the go. Conversations or voice memos can be recorded with a smartphone and sent to the user’s email inbox. Processing begins while the user is still on the go. Upon returning, the transcript is ideally ready for review, editing, or sharing. Email automation can be used to specify which attachments should be processed, based on criteria such as sender, subject line, file format, or filename. For example, an MP3 file can be automatically saved to a designated folder. As soon as it is saved there, GoSpeech Mover transfers it to GoSpeech. In Microsoft environments, this process can be implemented using Power Automate or Power Automate for Desktop. Power Automate for Desktop is already integrated into Windows 11 at no additional cost. Depending on the software, other email programs can also be integrated via extensions, scripts, or external automation solutions. This may incur additional costs.

Custom Vocabularies
To further improve transcription accuracy, users can utilize custom vocabularies in GoSpeech. You can create a vocabulary containing company-specific terms, product names, technical terms, or other frequently used expressions, and then enter the vocabulary name in the GoSpeech Mover configuration. Uploaded recordings are automatically processed using the selected vocabulary.

Processing Long Recordings
GoSpeech Mover is also ideal for long recordings. Instead of waiting until an entire meeting or interview is finished, recordings can be saved in multiple parts. Each part is transferred to GoSpeech immediately after being saved. This allows assistants or colleagues to begin reviewing and editing the transcription while the remaining parts are still being recorded. Additional parts are automatically transferred as soon as they become available, thereby speeding up the entire workflow.
